Explore – Summer Session: Program Agreement

Refusal to engage in the target language is unacceptable and is subject to dismissal from the program. The target language is to be consistently used throughout the duration of the program. 

Once a participant has had three language warnings and has engaged in discussions regarding use of their target language with the Head/Assistant-Head Monitor, Program Coordinator and/or Program Director, they may be subject to dismissal from the program.

Attendance at classes, workshops, seminars, and mandatory program events is mandatory. Failure to attend mandatory program activities without valid permission from the Program Coordinator and/or Program Director is deemed unacceptable.

Without explicit permission or a substantiated justification, a Certificate of Program Completion will not be conferred upon participants absent from more than six mandatory program activities. A program activity is defined as a class, seminar, workshop, or other compulsory/mandatory program event. Instances of extenuating circumstances will be individually assessed by the Program Coordinator and/or Program Director.

Participants and/or their parents/guardians are required to communicate all absences from a program activity in writing to the office, regardless of reason, for tracking purposes.

Participants who do not communicate absences to the office can expect a follow-up from Explore staff in the form of a phone call and wellness check in residence. This is to ensure the safety and well-being of all program participants during their time at Glendon Explore. If participants are still yet to be found in their residence room and/or on campus, Explore and security staff will conduct a search of the campus. If a participant cannot be located, parents and/or guardians will be notified, and Toronto Police Services will be contacted.

Any absences or instances of conflicting commitments that interfere with the program’s scheduled classes, workshops, seminars and compulsory events will be considered as official absences. This includes but is not limited to illness, employment, family obligations, other academic classes, etc.

Glendon Explore will notify participants and their parents/guardians when a participant is approaching the maximum allowable number of absences and may be at risk of forfeiting their certificate of completion.

If a Glendon Explore participant exceeds the maximum allowable number of absences (six) from mandatory program activities, they will be notified via email and required to leave the program at their own expense within 24 hours.

Any conduct characterized by disrespect, irresponsibility, disruption, lack of cooperation, or harassment towards any individual is strictly prohibited.

Acts of harassment, bullying (including cyberbullying), dissemination of gossip, use of inappropriate language, or engagement in slander, whether overtly or covertly, are deemed unacceptable. This encompasses inappropriate written communications via social media platforms, text messages, email, as well as postings in public areas of the campus such as classroom whiteboards or blackboards, public bulletin boards, washrooms, common spaces in campus facilities or residence halls, among others. Instances of sexual harassment will be addressed in accordance with York University’s Policy on Sexual Violence, accessible via this link: https://thecentre.yorku.ca/policy-and-process/

A strict zero-tolerance policy regarding all forms of violence, inclusive of verbal, physical, and sexual violence, shall be enforced. Participants found to engage in violent behaviour will be promptly expelled from the program.

Inflicting damage upon property or engaging in acts of vandalism against all York University premises, including those of the Glendon Campus, inclusive of public areas on campus, vegetation, residential facilities, and communal spaces, is strictly prohibited. This prohibition extends to the damaging or vandalizing of personal belongings or possessions of others throughout the program duration.

Any act of vandalism, including but not limited to the intentional destruction, defacement, or damage of property, will not be tolerated under any circumstances. This applies to all areas of York University campuses, including the Glendon Campus, and including outdoor spaces, residence areas, communal rooms, classrooms, and all common areas of the main campus buildings. 

Vandalism of a more severe nature, or repeated violations, may result in immediate dismissal from the program. The participant will be sent home without the opportunity to complete the program, and no refund will be issued. 

Participants are expected to treat all residence rooms and communal areas of the residences, including common rooms, shared bathrooms, corridors, lobbies, stairwells, elevators, and laundry facilities, with respect and consideration. In addition to keeping these spaces clean, participants are expected to be mindful of noise levels and ensure their personal belongings do not clutter shared areas. Participants should clean up after using any common space, promptly report any issues to Explore staff, and avoid obstructing hallways or other shared resources. In their own rooms, participants should maintain tidiness, monitor noise levels, etc. Disrespecting shared spaces or failing to be considerate of others’ needs may result in disciplinary action. 

Participants are under no circumstances allowed access to or use of the kitchen facilities in the Glendon residences. This includes but is not limited to the use of facilities and the appliances, including but not limited to the stove, sink, microwave and fridge. Any unauthorized items found in the kitchens, including food found in fridges, may result in items being discarded without prior warning, and no refund will be provided. 

The $250.00 security deposit paid by a participant upon registration may be retained should instances of property vandalism or other damage be identified throughout the duration of the program. 

The Glendon Explore residence room keys and residence access cards issued to participants at the beginning of the program are the sole responsibility of the participant. Keys and access cards are not to be loaned, transferred, or shared under any circumstances. Glendon reserves the right to charge fees for lost, damaged, or unreturned keys and access cards. 

In the event that a residence room key is lost or damaged, the participant will incur a lost key fee of $175.00, to cover the cost of the lock rekeying and key replacement. This fee will be paid by the participant directly to Glendon Housing & Ancillary Services. No new keys will be issued to a participant until all outstanding fees have been remitted. Payment can be made in person to Glendon Housing & Ancillary Services between the hours of 9:00am to 4:00pm (EST) Monday to Friday. York University, including Glendon Explore and Glendon Housing & Ancillary Services, will not be held liable for any losses that occur as a result of a room being left unlocked.

If a residence room key is lost more than once, an additional $175.00 rekeying and key replacement fee will be charged for each instance. This fee will be paid by the participant directly to Glendon Housing & Ancillary Services. No new keys will be issued to a participant until all outstanding fees have been remitted. Payment can be made in person to Glendon Housing & Ancillary Services between the hours of 9:00am to 4:00pm (EST) Monday to Friday. Glendon Explore and Glendon Housing & Ancillary Services will not be held liable for any losses that occur as a result of a room being left unlocked.

If a residence access card is lost or damaged, the participant will incur a $30.00 replacement fee. This fee will be paid by the participant directly to Glendon Housing & Ancillary Services. A new residence access card will not be issued to a participant until all outstanding fees have been remitted. Payment can be made in person to Glendon Housing & Ancillary Services between the hours of 9:00am to 4:00pm (EST) Monday to Friday. 

If a residence access card is lost more than once, an additional $30.00 fee will be charged for each instance. This fee will be paid by the participant and directly to Glendon Housing & Ancillary Services. Payment can be made in person to Glendon Housing & Ancillary Services between the hours of 9:00am to 4:00pm (EST) Monday to Friday. 

The residence room key and access card issued to each participant during the program are uniquely numbered and must match the participant’s assigned room. Upon departure, participants are required to return the exact key and access card provided to them during the program. Failure to return the residence room key or access card, or returning items that do not match those issued, will result in the following charges, which will be deducted from the participant’s security deposit:

• Incorrectly numbered or unreturned residence room key: $175.00 per key
• Incorrectly numbered or unreturned residence access card: $30.00 per access card

Glendon Explore reserves the right to enforce this policy and charge the participant accordingly for any lost, damaged, unreturned or incorrectly numbered residence room keys or residence access cards. Charges may be directly withheld from the participant’s security deposit. 

The possession and/or consumption of illegal drugs, non-prescription narcotics, and/or prescription medication for purposes other than those prescribed are strictly prohibited.

It is prohibited for individuals under the age of 19 to possess or consume alcohol, as well as to supply alcohol to any person below the age of 19.

Possession of open alcohol containers and/or alcohol contained in breakable containers in public areas within the campus and its residential facilities, including stairwells, hallways, washrooms, and elevators, is strictly prohibited.

For the safety, security, and comfort of all participants, bringing guests (defined as individuals not enrolled in the Glendon Explore program) into the Glendon residences is strictly prohibited, with the exception of the designated move-in and move-out days. Guests are allowed only in common areas on campus, and not within individual or common residence spaces.

Guests (defined as individuals not enrolled in the Glendon Explore program) are not permitted to participate in or attend scheduled program activities whether on or off campus, including organized excursions and trips, as well as programming or scheduled events. This ensures that Explore participants can fully engage in the program experience without disruption to the program or concern for safety. 

For reasons related to security and room capacity limitations, guests, including but not limited to family members and friends, are not permitted to attend graduation ceremonies or other Glendon Explore program events. We appreciate your understanding and cooperation in maintaining a secure and respectful environment for all members of the program. 

While mental health resources are available to support participant during their stay on campus, our program is not equipped to function as a crisis centre. Any crisis situations that arise will be escalated to emergency services, including hospital or police intervention, as necessary. If a participant has experienced a recent crisis prior to the start of the program, we strongly encourage they prioritize their recovery and carefully reconsider enrolling in our program. A foreign environment may exacerbate symptoms and could hinder a participant’s well-being. 

Upholding academic integrity stands as a cornerstone to the values upheld by both York University and Glendon Explore. For detailed guidelines, please refer to York University’s Policy on Academic Integrity.

Throughout assessments, projects, in-class activities, presentations, and homework assignments, participants are expected to demonstrate honesty and responsibility in their academic endeavours, adhering strictly to York University’s policies on academic integrity and academic honesty. Any involvement in academic misconduct may result in immediate dismissal from the program. This encompasses excessive reliance on or misuse of translation tools (Google Translation, DeepL, etc.), as well as the utilization of artificial intelligence tools (ChatGPT, etc.) for the generation of assignments or presentations, among other infractions. 

Plagiarism is unequivocally prohibited and will warrant dismissal from the program.

Packages will be picked up by Explore staff once per day from the Glendon Mail Room. Participants are responsible for collecting their mail and/or packages from the Glendon Explore office (room YH A112) promptly. It is the participant’s sole responsibility to retrieve their mail and packages, a friend and/or delegate cannot retrieve them on behalf of another participant. No exceptions will be made. 

Glendon Explore is not responsible for any issues related to mail carriers, lost packages, or missing items that do not arrive at the Glendon Campus or are not properly delivered to the Explore office or the Glendon Mail Room. 

Please note that couriers do not deliver packages directly to residence rooms. As such, items addressed to participants in residence may get lost or misplaced, as mail carriers will not hesitate to leave them wherever they see fit, including in public residence lobbies or other areas of campus accessible by the public. This may result in lost packages and/or mail. Glendon Explore will not be held accountable for lost packages. 

The $250.00 security deposit ensures that Explore participants will be held accountable to cover any of the damages or losses outlined below to the York University campuses or residences, including those of the Glendon Campus.

Any damages, lost property, or unnecessary service or cleaning costs caused by an Explore participant to the residences, classrooms, facilities and/or property of York University, including the Glendon Campus, through neglect, accident or intent will be charged to the Explore participant(s) involved.

Where two Explore participants occupy the same room in the residence buildings and responsibility for damage or loss in the room is attributed to both participants, the cost of damage or loss will be divided and assessed equally between the two bursary participants occupying the room.

Where damage or loss occurs in the common areas of York University campuses, including the Glendon Campus, and the blame rests on the Explore participants, the cost of damage or loss will be divided and assessed equally among all the Explore participants, or those residing on specific floors, and deducted from their deposits if the assessed amount is less than $250.00 per participant. If the amount exceeds $250.00, participants will be billed for the difference. No issuing of final program certificates will be done until all money is collected.

In the event of an emergency where the participant cannot make a payment on-site for transportation (e.g., Uber, taxi, Lyft, etc.) to and/or from the hospital or clinic, the $250.00 security deposit may be used to cover the cost of such transportation. The participant will be required to reimburse the transportation costs as soon as possible upon return to campus, and any outstanding balances will be deducted from the security deposit at the conclusion of the program. If the amount exceeds the balance remaining on the security deposit, participants will be billed for the difference. No issuing of final program certificates will be done until all money is collected.

Unpaid costs for any lost, damaged, unreturned or incorrectly numbered residence room keys or residence access cards will be withheld from the $250.00 security deposit.

Payments can be made in person through debit card or credit card (Visa or Mastercard).

The $250.00 security deposit will be refunded to the original credit card used for payment, provided no damage or additional fees have been incurred. Due to internal daily transaction and refund limits, please allow 8 to 12 weeks post-program for reimbursements to be processed.

By participating in this program, I acknowledge that I am entering an area where photography, video recording, and audio recording may occur. I authorize York University’s Glendon Campus and its representatives to capture and use photographs, videos, and audio recordings of me. I further grant York University’s Glendon Campus the right to use, reproduce, display, broadcast, and distribute these recordings in any current or future media for promotional, public outreach, educational, and administrative purposes. All photographs, videos, and recordings will remain the property of York University’s Glendon Campus.

Cell phones or electronic devices must be put away when instructors, language monitors or staff are speaking or facilitating program activities to ensure a distraction-free environment. During unauthorized periods, excessive or inappropriate use of electronic devices – including but not limited to texting, phone calls, emailing, use of social media, or gaming – is strictly prohibited and may disrupt the program. Failure to comply with these guidelines may result in disciplinary action, including temporary confiscation of devices during unauthorized periods, or dismissal from the program.

Participants of the summer session of the Glendon Explore Program are not, under any circumstances, permitted to leave the Glendon campus unaccompanied. Participants must always be accompanied by a Glendon Explore teacher, language monitor and/or staff when leaving the campus grounds.

Participants may leave campus under parental or guardian supervision, provided the Explore office has been notified in advance. When possible, it is preferable that a minimum of 2-business days’ notice be provided in writing to the Glendon Explore office by parents and/or guardians. All participants leaving campus with a parent and/or guardian must abide by the sign-out and sign-in procedures in place. No exceptions will be made. Failure to abide by the sign-in and sign-out procedures may result in disciplinary action, including dismissal from the program.

Participants should not be signed out during mandatory program fulfilment hours, including times allocated to class, seminar and workshop, and mandatory evening activities. If a participant is absent from any mandatory program activities, they will accumulate an absence, per the attendance policy outlined in section 2.

Under no circumstances can a participant be picked up by a parent, guardian or other adult during an off-campus excursion or any sort of off-campus trip. Participants can only be signed out by a parent or guardian at the Glendon campus during the office hours of the Glendon Explore office.

If a participant is dismissed from the program for any reason, including but not limited to absenteeism in excess of the designated limits, behaviour issues, illness, injury, or other emergency situation, it is the responsibility of the parent and/or guardian to arrange for their child’s return home within the designed 24-hour period. This includes ensuring someone is available to pick the participant up from the Glendon campus, or to receive them when they arrive at their home destination.
